Introduction
- This is a notice to inform you of our policy about all information that we record about you. It outlines the conditions under which we may process any information that we collect from you or that you provide to us. It covers information that could identify you (“personal information”) and information that could not. In the context of the law and this notice, “process” means collect, store, transfer, use or otherwise act on information.
- We regret that if you are unhappy with any of the points below, your only recourse is to leave our website immediately.
- We take the protection of your privacy and confidentiality seriously. We understand that all visitors to our website are entitled to know that their personal data will not be used for any purpose unintended by them and will not be accidentally disclosed to a third party.
- We undertake to maintain the confidentiality of all information you provide, and we hope you reciprocate.
- Our policy complies with UK law, as implemented, including that required by the EU General Data Protection Regulation (GDPR).
- The law requires us to inform you about your rights and our obligations regarding the processing and control of your personal data. We do this now by requesting that you read the information provided at www.knowyourprivacyrights.org.
- Except as set out below, we do not share, sell, or disclose to a third party any information collected through our website.
The basis on which we process information about you
The law requires us to determine under which of six defined bases we process different categories of your personal information and to notify you of the basis for each category.
If the basis on which we process your personal information is no longer relevant, we will immediately cease processing your data.
If the basis changes, then if required by law, we shall notify you of the change and of any new basis under which we have determined that we can continue to process your information.
1. Information we process
When you register with us via our website as an interpreter or translator, we will process the information you provide. Some of this information may be personal information.
We may use your information to contact our potential clients. We process this information on the basis that you consent to our passing it on to our potential clients for a specific enquiry, for interpreting, translation, or transcription purposes. We will not use your personal information for any other projects other than those we contact you about with a specific project number provided, and will not to modify the contents of your CV (Resume), other than translating it into English if it is written in another language.
We will always contact you directly to enquire about your availability and interest in participating in a specific assignment. We may then share the information provided in your CV with clients without modifying the contents, in order to respond to our potential clients regarding a specific project. In this instance, we only use your ID number without your name or contact information. We may reveal your name to the client once the assignment has been officially booked and confirmed, or when we receive a signed contract. We may reveal your mobile (cell) phone number to the client upon our client’s request and only upon your consent. We specify in our Purchase Order that any personal information provided is for emergency and non-commercial purposes and to be used only during the specified period.
We may occasionally use secure artificial intelligence (AI) tools to assist us in processing the CVs and related professional information of interpreters and translators. This may include organising CVs, identifying relevant skills, or matching their experience with specific client requests. AI is used solely to assist our team with administrative and project management tasks, and never to alter the actual content of your CV.
All AI-assisted processing is subject to human review and oversight. We do not use AI to make decisions about you that have legal or similarly significant effects without human involvement, in line with Article 22 of the UK GDPR. Your personal information is not shared with third-party AI providers unless appropriate data protection safeguards and agreements are in place.
Disclosure and sharing of your information
Except as set out above, we do not share, sell, or disclose to a third party any information collected through our website.

2. Information we process with your consent
Sometimes you might give your consent implicitly, such as when you send us a message by e-mail to which you would reasonably expect us to reply.
Except where you have consented to our use of your information for a specific purpose, we do not use your information in any way that would identify you personally.
We continue to process your information on this basis until you withdraw your consent or it can be reasonably assumed that your consent no longer exists.

For example, we may be required to give information to legal authorities if they so request or if they have the proper authorisation, such as a search warrant or court order.
This may include your personal information.
